How Can You Save 92% on a Dynamics 365 License?!

No way… 92%?!

You’re not dreaming, as this is actually true! Steve Mordue recently wrote a blog about how he discovered a way tor reduce your costs potentially by 92%.

If you have ever used TextEdit instead of Word because you don’t need the extra options, then this may be an option for you. Mordue explains clearly that you must meet some requirements in order to fully capitalize on 92% savings.

Restrictions..?

Here are the restrictions Mordue listed in blog:

IF, you are paying $115/user/month for the Dynamics 365 Customer Engagement Plan Licenses.

  • IF, you are only using the basic out-of-the-box features.

  • IF, the advanced capabilities you are using were all custom built.

  • IF, any third-party solutions are compatible, or you can do without them.

  • IF, your users primarily work in a single application, ie. “Sales” or “Service” but not both.

  • IF, you are not using things like “Relationship Insights,” or any of the A.I., or other advanced features.

Depending on your answers to the above “Ifs”, you may well be able to move to the upcoming PowerApps Per App Plan model for $10/user/month. My math says that from $115, down to $10, is a 92% savings.

Hmmm.. What will Microsoft do now that voice of the customer has been deprecated?!

Have no fear because Forms Pro is here! Forms Pro is now available to capture your customer feedback by using surveys. If you are worried about if you can still use the old voice of the customer, you have till July 1, 2020 to create and distribute new surveys and collect responses from live surveys.

As expected, with the release of Forms Pro that Microsoft have announced that Voice of the Customer is being deprecated.

As of July 1, 2019, the Voice of the Customer solution was deprecated. Users can create and distribute new surveys and collect responses from live surveys till July 1, 2020.

What is the Voice of the Customer?

Originally the Voice of the Customer solution was primarily used to create and send surveys for collecting feedback.

Microsoft Is Deprecating The Legacy Web Interface

The traditional way that you access Dynamics 365 CE is through the classic interface on the web.  Microsoft now has a new method using the unified interface.  The unified interface means that your forms will work equally as well on tablets and phones.

Another important thing to note is that they are discontinuing the classic/legacy interface very soon.  Microsoft has announced they do not plan on investing in the legacy interface anymore, as their focus shifts towards the new unified interface.

Why Should You Transition to The Unified Interface?

Microsoft published these stats that put the unified interface at a higher pedestal than the legacy.

Teams CAN BE added to Azure AD?

Recently one of our clients had an interesting question that regarded the use of their Active Directory. Our client hoped to have their Active Directory manage security within Dynamics 365 via Teams.

From the collection of research that we conducted, it seemed obvious to look at any recent functionality that may have been available. This sent out research towards Teams in Dynamics 365 online. Fortunately I was able to find Debajit’s blog who’s information on this subject was excellent .

Let’s start with a revelation – Now Azure AD groups can own records in Dynamics 365. All this time there used to be owner teams. Now both Azure AD office and security group can own your business records.

The Azure AD Object Id for a Group field on the team record sounded exactly what we were looking for but then how does this work?

It seems that you can now link Teams in Dynamics 365 to Azure Active Directory Groups.

This is a really exciting development for Dynamics 365 and this means of course that if you add security roles to the linked AD Team that you create then you could have a security setup managed by Office 365 Exchange.

Azure Setup

After coming across Debajit’s Dynamics 365 Blog, he explained the setup process in a seamless fashion that is very easy to follow. With his step-by-step guidance, and further research our client was able to enjoy their new solution. Take a look of our screenshots alongside with Debajit’s blog to further assist you in creating this solution.

Essentially the setup for this could not be simpler and it seems to work very well. Note the original blog article for the curve ball though. Your members (of the Team) seem not to show up in Dynamics until they login, which is fine as everything still works just fine.

Microsoft Dynamics Common Data Model Versus CRM/CE Entities

Is the entity in the common data model or is it CRM specific?

One of the big issues that will arise with the new Microsoft common data model is wondering whether the entity you would like to use is part of the common data model or is it in a CRM/CE specific entity set (e.g., sales, service, and marketing).

My crack at breaking it down

Microsoft has provided an online tool via GitHub that will show you where the entities live in terms of groupings. Here is a link to that tool: CDM Entity Navigator.

I went thru the CDM Entity Navigator and tried to break it down for myself a little further. I did so in an MS-Excel spreadsheet and attached it here for you to look through.

No License Cost On Instances - Now Based On Database Capacity

Microsoft released new licensing guides in April 2019 for Dynamics 365 CE and also for PowerApps and Flow. Although the Team Members license can appear confusing, Jukka Niiranen has done a great job with this graphic he placed in a January blog post he ran:

Another significant item to note is how instances work with licensing:

One significant and very welcome change that is introduced as a part of this new model is that there will no longer be any license cost tied to the number of instances you have in the cloud. Previously you had to buy add-on licenses for acquiring production and non-production (sandbox) instances for developing, testing, training and in general managing your complex Dynamics 365 online environment. Once the new subscription terms kick in, you’ll have the ability to create as many instances as you like, provided that you have sufficient database capacity available. A major driver behind this change is surely the PowerApps side, in which the licensing terms already granted any user with PowerApps P2 license to create 2 CDS environments for their applications.

It was especially inspiring to see how Dynamics 365 is closing all of the gaps with new features and functionality, and tying it all together through one cloud platform. It starts with a simple task:  Codify a business process

Most companies realize they have a business process that is probably not as efficient as it could be.  Perhaps it is an Excel spreadsheet or an MS-Word document that is being passed around the organization in an inefficient manner.  There is often the realization that if they take the disconnected spreadsheets and forms and back-ended them into a database, they can easily eliminate wasted time, rekeying of data, and eliminating some simple review processes and calculations.

You end up codifying the entire department

What starts out as a task to eliminate inefficiencies in one business process inevitably sprawls into another department.  The touch-point of information with other departments or with customers and suppliers will definitely be inputs or outputs into the business process that you are making more efficient.  Why not modify those processes too while you are at it?  Before you know it, you have modified the business processes of an entire department.

Job roles will change

Changing business processes will also inevitably lead to changing job duties.  The mundane error checking of paper forms or re-keying of information into various spreadsheets or miscellaneous forms is going away.  What is left behind in a business process is the essence of what the job truly is and what only the human can accomplish.  The human element in business processes is not going away with the current changing nature of business processes through electronic efficiencies but is now focusing employees on the higher value evaluations that are needed in business processes.

We are removing the mundane work with technology and opening up our eyes to the true value employees (i.e., humans) play in a business process.

Dynamics 365 for Outlook is blank: Solution

A client recently reported that they can’t find any information under Dynamics 365 for Outlook. This issue only happened for them recently. Trying to uninstall and re-install Outlook for them, disconnecting and re-connecting to the Organization, and a lot other troubleshooting strategies that you can find online did not fix this issue.

We ended up opening a ticket with Microsoft Support. The fix is as listed:

1. Go to Start on your Computer
2. Type regedit

3. Go to HKEY_CURRENT_USER > Software>Microsoft>Office>16.0>Outlook>Security

4. Under Security right click and then New>DWORD (32-bit) Value

5. Name the folder EnableRoamingFolderHomepages
6. Right click on the folder and Modify
7. Change the Hexadecimal Value data to 2

Now, restart Outlook and wait for a minute. Then click on Dynamics 365 or CRM for Outlook tab on the left bottom corner and you will see all the information that is synced through your CRM.

A Fabulous Year

We can not believe that another year has already past!  The time just flies when you spend the time doing what you love and have great, great customers.  We have been growing so fast that we have actually had to move offices twice this year because we have simply outgrown our old spaces.  Not only has our customer base grown, but our staff have grown enormously as well.  We all look forward to finishing up the year with a full head of steam and continuing to service our customers with what we love to do most: consult on customer relationship management software.

Purely CRM – Our first Year

As I write this I am sitting on a plane bound for Edmonton. Wondering how best to consume my time over the next hour or so, my thoughts focus in on the fact that Purely CRM have just celebrated our first birthday and have been in business for one year.

Much has changed over that time and as a company we continue to grow from strength to strength. In fact, I am sharing this journey with two members of the Purely CRM team. We are flying out to work with our client in Edmonton. One of those sharing this journey being a new Partner in our business and the other being our first employee. Indeed much has changed from those early days.

On our starting day we actually had no office. Well, let’s say that certain local coffee shops proved invaluable over that period and served as a wonderful office space when we needed to meet up. Quickly this proved inadequate and we moved into our first office in Gastown, Vancouver. This office was so small in fact that with three people in there it was, let’s say, crowded.

We have recently moved into our spacious new Yaletown Office, which we share with our friends and colleagues, FilmRobot. They are a remarkable, growing company who have some seriously awesome guys working for them.

Over the year we have consistently been striving to provide our customers with the best Dynamics CRM resources in the Vancouver area. Those resources in turn have produced an extraordinary quality of work and our customers are benefiting from this.

The Purely CRM team each have many years of CRM experience, and some with multiple CRM systems. Our first employee was chosen for his outstanding academics and rich development experience and is already an invaluable member of the Purely CRM family.

We still believe as we did a year ago that our customers want specialist CRM consultants with specialist CRM knowledge and experience.

We plan to fully introduce our new Partner and first employee in subsequent posts. We also believe that this is crucial to our business as our customers want to know exactly who they are sharing their crucial business plans with.

Thank you to all our customers for making our first year so successful. Thank you for believing in us at Purely CRM. We believe in our customers and we believe in our resources. This is our differentiator from our competitors and nothing has changed since our launch, nor will it.
