Teams CAN BE added to Azure AD?

Recently one of our clients had an interesting question that regarded the use of their Active Directory. Our client hoped to have their Active Directory manage security within Dynamics 365 via Teams.

From the collection of research that we conducted, it seemed obvious to look at any recent functionality that may have been available. This sent out research towards Teams in Dynamics 365 online. Fortunately I was able to find Debajit’s blog who’s information on this subject was excellent .

Let’s start with a revelation – Now Azure AD groups can own records in Dynamics 365. All this time there used to be owner teams. Now both Azure AD office and security group can own your business records.

The Azure AD Object Id for a Group field on the team record sounded exactly what we were looking for but then how does this work?

It seems that you can now link Teams in Dynamics 365 to Azure Active Directory Groups.

This is a really exciting development for Dynamics 365 and this means of course that if you add security roles to the linked AD Team that you create then you could have a security setup managed by Office 365 Exchange.

Azure Setup

After coming across Debajit’s Dynamics 365 Blog, he explained the setup process in a seamless fashion that is very easy to follow. With his step-by-step guidance, and further research our client was able to enjoy their new solution. Take a look of our screenshots alongside with Debajit’s blog to further assist you in creating this solution.

Essentially the setup for this could not be simpler and it seems to work very well. Note the original blog article for the curve ball though. Your members (of the Team) seem not to show up in Dynamics until they login, which is fine as everything still works just fine.

Microsoft seems quite excited about the new PowerApps Component Framework (PCF).

“(PCF) is a significant step towards empowering [third]-party developers to build compelling visual components using the same framework which Microsoft team uses,” stated Microsoft’s Hemant Gaur, product owner for the PowerApps component framework, in a blog post. “The framework enables developers to create fully custom components for use across the full breadth of PowerApps capabilities.”

Jukka Niiranen, in his blog post title, “PowerApps ‘Starter’ Plans Capabilities Demystified” writes:

One of the major handicaps introduced in the new licensing terms for Team Members last Fall was the removal of rights to create, edit and delete account records. Now, while the $8 Team Member license doesn’t allow you to perform these actions, the $7 PowerApps P1 license actually does!

Oh Microsoft, why do you keep making this so hard for us?!?!?!

He did post a nice graphic in his blog-post that does help a bit though …

I am so thankful we do not sell licenses, but just the services to configure those licenses purchased. I will continue to rely on Microsoft large account resellers (LAR’s) for answers to clients’ licensing questions.

Is the entity in the common data model or is it CRM specific?

One of the big issues that will arise with the new Microsoft common data model is wondering whether the entity you would like to use is part of the common data model or is it in a CRM/CE specific entity set (e.g., sales, service, and marketing).

My crack at breaking it down

Microsoft has provided an online tool via GitHub that will show you where the entities live in terms of groupings. Here is a link to that tool: CDM Entity Navigator.

I went thru the CDM Entity Navigator and tried to break it down for myself a little further. I did so in an MS-Excel spreadsheet and attached it here for you to look through.

Microsoft released new licensing guides in April 2019 for Dynamics 365 CE and also for PowerApps and Flow. Although the Team Members license can appear confusing, Jukka Niiranen has done a great job with this graphic he placed in a January blog post he ran:

Another significant item to note is how instances work with licensing:

One significant and very welcome change that is introduced as a part of this new model is that there will no longer be any license cost tied to the number of instances you have in the cloud. Previously you had to buy add-on licenses for acquiring production and non-production (sandbox) instances for developing, testing, training and in general managing your complex Dynamics 365 online environment. Once the new subscription terms kick in, you’ll have the ability to create as many instances as you like, provided that you have sufficient database capacity available. A major driver behind this change is surely the PowerApps side, in which the licensing terms already granted any user with PowerApps P2 license to create 2 CDS environments for their applications.

It starts with a simple task:  Codify a business process

Most companies realize they have a business process that is probably not as efficient as it could be.  Perhaps it is an Excel spreadsheet or an MS-Word document that is being passed around the organization in an inefficient manner.  There is often the realization that if they take the disconnected spreadsheets and forms and back-ended them into a database, they can easily eliminate wasted time, rekeying of data, and eliminating some simple review processes and calculations.

You end up codifying the entire department

What starts out as a task to eliminate inefficiencies in one business process inevitably sprawls into another department.  The touch-point of information with other departments or with customers and suppliers will definitely be inputs or outputs into the business process that you are making more efficient.  Why not modify those processes too while you are at it?  Before you know it, you have modified the business processes of an entire department.

Job roles will change

Changing business processes will also inevitably lead to changing job duties.  The mundane error checking of paper forms or re-keying of information into various spreadsheets or miscellaneous forms is going away.  What is left behind in a business process is the essence of what the job truly is and what only the human can accomplish.  The human element in business processes is not going away with the current changing nature of business processes through electronic efficiencies but is now focusing employees on the higher value evaluations that are needed in business processes.

We are removing the mundane work with technology and opening up our eyes to the true value employees (i.e., humans) play in a business process.

Taking the proper steps to manage your project reporting

WHAT SHOULD BE MEASURED?

Measuring your project can mean more than simply measuring tasks against a timeline. You can also measure how well you are meeting project objectives, costs, scope changes, and risks.

Although each of the items mentioned are important in their own right, they may or may not make it in to your regular project reporting. Most companies will opt for a simple report showing budget, timeline, and risks.

SO, HOW BIG SHOULD THE REPORT BE?

For most projects, a one-page report is ideal. If someone wants further details, they can always drill further into other more detailed reports.

Toyota introduced their one-page project management report that everyone talks about. They called their report the A4 report. It was called the A4 report because it was produced on one piece of A4 paper. In North America, we would use a standard letter sized piece of paper (8.5” X 11”) in place of A4 paper.

HOW OFTEN SHOULD I PRODUCE PROJECT REPORTS?

Of course, the size of your project would dictate how often your reports should be produced. For most software projects, a weekly report is the recommended standard. This provides resources enough time to get their weekly time-sheets in and using a Project Manager once a week to do this ties to the standard 20% utilization rate that is expected of them.

WHAT IS YOUR MOST IMPORTANT NUMBER?

The “estimate to complete” (ETC) number is most likely your most important number. You will want to take your “actual time spent” number, add your “estimate to complete” number, and arrive at your “estimate at completion” (EAC) number to see if you are going to trend over or under against the original budget (i.e., estimate).

Many new features are coming, here are some of our highlights.

UNIFIED USER INTERFACE

For a simpler and more consistent user experience, all interfaces are now fully unified as of the Spring release, with the web browsers as an intermediate interface so far. The web browsers will move to a fully unified interface in the Fall 2017 release. Many common complaints and modernizations have been addressed, as well as tabs returning to the web interface instead of the dropdown menu. Multi-select option sets are coming too! There will be no more need to simulate a multi-select option set.

BUSINESS EDITION

The long-awaited Business edition plan is finally launching, suitable for SMB companies (<250 users). Simple to set-up and low cost, it is an easy starting point to purchase needed apps. As your organization grows, it will be easy to upgrade to the Enterprise plans. However, this update is delayed from June 1st to September 1st due to a big launch for the product that is scheduled at that time.

DYNAMICS MARKETING

A new and improved Marketing app is launching, with a much better module compared to the old module. There is a directional move towards the Adobe Marketing Cloud as a preferred solution, once Adobe has finished integrating with Cloud 365. This will be available for Business plan customers and Enterprise plans.

Get to know your client

Completing a project does not only include meeting deadlines and completing tasks. Knowing your client and taking the time to fully understand their wants and needs can allow you to incorporate more elements that make that product specific to the company. In taking the time to understand them, it strengthens the connection between you and your client, creating a more well-rounded product. 

All hands on deck

Essential for an efficient project, the team must work like a well-oiled machine. In working together to achieve the project’s goals, it ensures that all ideas and opinions are heard, optimizing your team’s productivity and problem-solving abilities. With deadlines fast approaching, it will be guaranteed that your team will always be on time. 

Know your product

As the creator, you have to know all the ins and outs of your product. Without thorough knowledge, your product will not meet your client’s expectations, much less your own. To maximize efficiency, that knowledge is key. Along the way, your client may have different requests and expectations, or problems may arise. Knowing your product will let you give better or alternate solutions to what your customer is asking for, allowing you to give the best product that you can within the scope of your client.

A Fabulous Year

We can not believe that another year has already past!  The time just flies when you spend the time doing what you love and have great, great customers.  We have been growing so fast that we have actually had to move offices twice this year because we have simply outgrown our old spaces.  Not only has our customer base grown, but our staff have grown enormously as well.  We all look forward to finishing up the year with a full head of steam and continuing to service our customers with what we love to do most: consult on customer relationship management software.
